What this application is
Sojourn Cellars Sales Reporting is an internal reporting tool owned and operated by Sojourn Cellars for its own staff. It is not offered to the public, to other businesses, or to consumers. It reads Sojourn Cellars' own sales records from Shopify and QuickBooks Online and presents them as a daily dashboard and email for the Sojourn Cellars management team.
Data we access
From Sojourn Cellars' QuickBooks Online company file, with the authorisation of a QuickBooks administrator:
- Invoices, credit memos and sales orders, including line items, amounts and dates
- Customer names and their sales channel classification
- Product and service items, including quantity on hand
- Company information, used only to confirm the connection is to the right company
From Sojourn Cellars' Shopify store: orders, line items, refunds, and the customer identifier, email address and tags attached to each order.
We do not access bank, payroll, tax filing or employee records, and we do not access any data belonging to any other business.
How we use it
Only to produce sales reports for Sojourn Cellars: sales by day, channel, product and customer; stock on hand; open orders; and comparisons with goals and prior periods. Data is never sold, shared with advertisers, used for marketing, or used to build profiles of individuals.
Where it is stored and who can see it
- Data is stored in a database hosted by Supabase in the United States (Oregon), in an account owned by Sojourn Cellars.
- The dashboard is hosted by Vercel in an account owned by Sojourn Cellars and is protected by a password held by Sojourn Cellars staff.
- The daily email is sent through Resend from a Sojourn Cellars address to a list of Sojourn Cellars staff maintained by Sojourn Cellars.
- QuickBooks connection tokens are stored encrypted and are used only by the automated refresh.
- Access is limited to Sojourn Cellars staff and, during the build and support period, to Fabrica Collective, the contractor who built the tool, under contract to Sojourn Cellars.
Retention and deletion
Reporting data is kept for as long as Sojourn Cellars uses the tool, so that year-on-year comparisons remain possible. Disconnecting the QuickBooks connection stops all further access to QuickBooks immediately. Sojourn Cellars can delete all stored data at any time by deleting the database.
Security
All connections use HTTPS. Credentials and tokens are held in secret storage, never in source code. Access to the hosting, database and email accounts is through the Sojourn Cellars owning mailbox.
